Efficient cooperation between customer and partner provides full transparency and paves the way for a more cost-effective future
Which software do we use - is it only expensive on the server? Which licenses are mandatory, which can we do without? The Rhineland-Palatinate Structural and Licensing Directorate South (SGD Süd) in Neustadt an der Weinstraße demanded valid data: on its software inventory, licenses and savings opportunities. With Matrix42, ISD installed an all-round suitable solution for software compliance for the authorities.
Task
SGD Süd attaches great importance to the collection of valid data on the part of software compliance and was looking for a suitable software solution for efficient support.
Challenge
Transparency in software, costs and licenses. SGD Süd, a higher state authority in the state of Rhineland-Palatinate, demanded a solution that delivers usable data for software compliance and also uncovers potential savings.
Solution
ISD implemented the Software Asset Management Solution (SAM) from Matrix42.
On customer side, a holistic solution was implemented with Matrix42. With the new SAM solution, SGD Süd has gained a complete overview of all software variants used in the facility and the associated license rights. Cost-saving potentials and risks can now be fully pictured. Roland Hoffmann, Head of Information and Communication Technology and facility project manager, is pleased about SGD Süd's pioneering role: "As the first authority in Rhineland-Palatinate, we can demonstrate the possibilities of professionally implemented software compliance with this 'lighthouse project'. We are proud of our new role as pioneers. And the implementation by our partner ISD went without a hitch." After the successful implementation of the compliance modules and the helpdesk, SGD Süd will extend its Matrix42 modules with the so-called Self Services.
Realization
The software distribution via Matrix42 Physical, which had already been used successfully by SGD Süd for some time, served as the technical inventory item. It was used to supply the new SAM software with technical data and commercial information from the software procurement contracts. ISD obtained license rights for the software products from Matrix42 License Intelligence Services (LIS) on one hand, and from the contract supplements of the software manufacturers on the other.
The decisive factor: efficient cooperation
The IT project was managed jointly by project managers from SGD Süd and ISD. Marco Mestrum, head of the ISD office in Mainz and main contact at SGD Süd, sees the shared project management responsibility as an important factor for success: "The assumption of project management on both the customer and partner sides resulted in synergies that ensured process optimisation, faster project progress and more precise sub-project planning. This benefited both parties and above all the project itself". Matrix42 participated in the project with ISD: Together, both companies provided project management and the technical consultancy for the implementation of all project components.
In time. In budget.
The project ran as planned, smoothly and without crisis management. With administrator and user training, ISD had already prepared the employees of the authority for the new software during the project. And the company will continue to support SGD Süd in future: for maintenance, half-yearly reviews and as a contact for the use of further Matrix42 modules.
